Checklist
40 checks
| Done | Check | Format | Guidance |
|---|---|---|---|
| □ | Logo files | SVG, EPS, AI, PDF, PNG | Send the best-quality version you have. Vector files are ideal, but a high-resolution image is still useful if that is all you have. |
| □ | Alternative logo versions | SVG, EPS, AI, PDF, PNG | Include light, dark, monotone, stacked, horizontal, icon-only, or social avatar versions if they exist. |
| □ | Colour palette | HEX, RGB, HSL, Pantone, PDF | Brand guidelines, design files, or even a list of known colour values help keep the site consistent. |
| □ | Fonts and typography | OTF, TTF, WOFF, WOFF2, licence link | Share font files only if your licence allows it. Otherwise share the font name, provider, or brand guideline that lists it. |
| □ | Brand guidelines | PDF, DOCX, Figma, Canva, design file | Any existing guidance on logo use, tone of voice, colours, spacing, or photography style is useful. |
| □ | Photography and image library | JPG, PNG, WebP, TIFF | Include product, venue, service, team, customer, or process photos. Original high-resolution files are better than images saved from an old website. |
| □ | Team and author photos | JPG, PNG, WebP, TIFF | Useful for about pages, author profiles, team sections, case studies, and trust signals. |
| □ | Icons and illustrations | SVG, EPS, AI, PNG, icon font | Share any service icons, diagrams, illustrations, or icon libraries that already belong to the brand. |
| □ | Video and animation assets | MP4, MOV, WebM, Vimeo, YouTube | Send original files where practical, or share links to hosted videos that should be embedded. |
| □ | Client, partner, award, or accreditation logos | SVG, EPS, AI, PNG | These are often scattered across old decks, proposals, or previous website folders. Send what you have and we can tidy the set later. |
| □ | Testimonials and review assets | Text, screenshot, review link, JPG, PNG | Include the quote, name, company, role, permission status, and any photo or logo that should accompany it. |
| □ | Favicon and app icon | SVG, PNG, ICO | A square icon or simplified logo mark is useful for browser tabs, bookmarks, and mobile homescreen icons. |
| □ | Social sharing image | JPG, PNG, WebP | This is the image shown when the site is shared on social platforms. If you do not have one, it can be created during the project. |
| □ | Social profile URLs | URLs | Include the active profiles that should be linked from the site, such as LinkedIn, Instagram, Facebook, YouTube, TikTok, Vimeo, GitHub, or Google Business Profile. |
| □ | Preferred social sharing accounts | Text, URLs | If multiple teams or locations have separate accounts, confirm which ones should be connected to this website. |
| □ | Domain name and registrar access | Domain, provider name, secure access route | The domain account is often controlled by the business owner, previous developer, agency, or IT provider. Do not send passwords by email. |
| □ | DNS provider and current DNS records | Provider name, export, screenshot, invite | DNS controls the website, email, verification records, and other services. If you are unsure where it lives, we can help trace it. |
| □ | Hosting and control panel access | Provider name, invite, secure access route | This might be with your current developer, host, agency, or internal IT team. Use a secure method for access details. |
| □ | CMS administrator access | Named admin account, temporary login, invite | Named accounts are better than shared logins. If the existing site is being rebuilt or migrated, admin access helps with content and technical review. |
| □ | Analytics and tag manager access | GA4, Google Tag Manager, other analytics IDs | Invite access is safer than sharing account passwords. Include any tracking IDs or containers already in use. |
| □ | Search Console and webmaster tools access | Google Search Console, Bing Webmaster Tools | This helps check indexing, sitemaps, crawl issues, and launch changes. If it is not set up yet, it can be created during the project. |
| □ | Email sending and SMTP details | Provider name, SMTP settings, API key | Contact forms, order emails, password resets, and notifications need reliable sending. Share credentials only through a secure route. |
| □ | CRM, newsletter, booking, or ecommerce embeds | URLs, embed snippets, account invites | Include Mailchimp, HubSpot, Pipedrive, Calendly, payment, review, chat, booking, CRM, or other tools the website needs to connect to. |
| □ | API keys and verification keys | API key, site key, verification record | This can include reCAPTCHA, maps, payment, reviews, chat, or other services. Do not paste secrets into normal email or upload forms. |
| □ | Legal company information | Text | Include registered company name, company number, VAT number, trading name, or other details that need to appear on the site. |
| □ | Public phone numbers and email addresses | Text | Confirm the details visitors should use, including different departments, locations, or enquiry types if needed. |
| □ | Form notification recipients | Email addresses | Confirm where contact forms, quote requests, bookings, orders, or support messages should be sent. |
| □ | Addresses, locations, and service areas | Text, URLs, map links | Include physical locations, mailing addresses, regions served, and any location-specific instructions. |
| □ | Page list and priority pages | Text, spreadsheet, sitemap | List the pages you know you need. It is fine if the list changes during discovery. |
| □ | Existing page copy | DOCX, Google Doc, Markdown, website URL | Send existing copy if it should be reused or reviewed. If copy still needs writing, mark it as a project task. |
| □ | Headlines, taglines, and value proposition notes | Text | Any existing messaging, pitch decks, sales notes, or positioning documents can help shape the website copy. |
| □ | Service, product, or offer details | Text, spreadsheet, PDF, URLs | Include descriptions, pricing, variations, availability, FAQs, and anything a visitor needs before making an enquiry or purchase. |
| □ | Team bios, author bios, and credentials | Text, DOCX, URLs | Useful for about pages, blog authors, leadership profiles, and trust-building sections. |
| □ | FAQs | Text, spreadsheet | Real customer questions are more useful than generic filler. Pull from sales calls, support emails, proposals, or onboarding notes. |
| □ | Target keywords and SEO notes | Text, spreadsheet, report | Share any existing keyword research, Search Console exports, SEO reports, PPC landing-page terms, or priority search topics. |
| □ | Downloadable files | PDF, DOCX, XLSX, EPUB, ZIP | Include brochures, white papers, menus, price lists, forms, product sheets, or other files visitors should download. |
| □ | Privacy policy | Text, DOCX, PDF, URL | If you do not have one, this should be flagged early so the right legal/compliance route can be chosen. |
| □ | Cookie policy and consent requirements | Text, DOCX, PDF, URL | Tracking, analytics, ads, embedded media, and chat tools may affect cookie consent requirements. |
| □ | Terms, refund, delivery, or booking policies | Text, DOCX, PDF, URL | These are especially important for ecommerce, bookings, subscriptions, events, memberships, or paid downloads. |
| □ | Copyright and attribution requirements | Text | Record any required credit lines for photography, illustrations, licences, partners, or third-party material. |
